Terms and Conditions – Prolog Coffee

1. General Information

These Terms & Conditions apply to purchases, subscriptions, and course registrations made via Prolog Coffee's webshop. By placing an order or subscribing, you agree to the terms outlined below. If you have any questions, please contact us at hello@prologcoffee.com.

All purchases are made with Prolog Coffee ApS, Marguerite Vibys Plads 1, 2000 Frederiksberg, Denmark. CVR: 37459836.

2. Product Information

Each product is described on our webshop. Coffee is sold as whole beans and packed in protective ventilated packaging for freshness. Subscription contents may vary each month and are curated by our team.

3. Payment

Payments in the web shop is possible via Visa/Dankort, VISA, Master Card, Maesto, Mobile Pay, AMEX. For standard orders, payment is charged once the order is confirmed. For subscriptions, the first subscription is charged once the order is confirmed. The recurring charge is processed monthly on the 24th of the month before the next upcoming subscription.

We reserve the right to correct errors, adjust prices due to changes in VAT or taxes, and cancel orders due to typographical errors or force majeure.

4. Shipping & Delivery

We ship via PostNord and DHL Express. Estimated delivery times vary by region and selected shipping method. We do not guarantee exact delivery dates.

5. Risk of Shipment

The risk passes to the customer once the product has been handed over to the shipping provider.

6. Returns and Right of Cancellation

Food products (coffee) are non-refundable under Danish law. Other unopened and unused products in original packaging may be returned within 14 days of delivery.

Return notification must be sent to hello@prologcoffee.com within 14 days of receiving the item. Items must then be returned within the following 14 days.

Return shipping is at the customer’s expense. Refunds are issued when products meet return criteria and proof of return is provided.

7. Missed Pickup & Return Handling

If coffee orders are not picked up or delivered due to incorrect address or missed delivery window, the order is not refundable. Returned packages are stored for 14 days and may be reshipped upon payment of additional shipping costs.

8. Course Registrations

After booking a course, you will receive confirmation by email. Course registrations are binding once confirmed.

Refunds are not possible for cancellations later than 7 days prior to the course. If cancelled earlier, the full amount is refunded. We reserve the right to cancel courses with less than 3 participants and will offer a new date or full refund in such cases.

Courses are intended for home enthusiasts. For professional or private events, contact us at hello@prologcoffee.com.

9. Subscription Terms

Subscriptions are billed on the 24th of each month and shipped on the last Friday of the month. Subscribers are responsible for maintaining correct address and payment information. By subscribing, you agree to receive email notifications related to your subscription, including our monthly newsletter.

10. Newsletter & Marketing Consent

We only send marketing emails with your explicit consent. You can unsubscribe at any time using the link provided in each email.

11. Privacy and Data Protection (GDPR)

We collect your name, email, phone number, billing and shipping address, and order details to fulfill purchases and subscriptions. This applies to both private and business customers. We only share data with trusted service providers necessary to process your order (e.g., shipping, payment, platform providers).

Personal data is stored securely and retained only as long as legally required. You have the right to access, correct, or delete your personal data. Requests can be directed to hello@prologcoffee.com.

We may use the following third-party providers who process data on our behalf: Shopify (e-commerce), Stripe (payment), PostNord/DHL (shipping), and Klaviyo (email communication).

12. Jurisdiction and Applicable Law

These terms are governed by Danish law. Disputes shall be resolved by the courts of Denmark, with the City Court of Copenhagen as venue.

13. Complaints

If you wish to file a complaint, contact hello@prologcoffee.com. If no resolution is reached, you may submit a complaint to the Danish Centre for Complaint Resolution at www.forbrug.dk or via the EU ODR platform: http://ec.europa.eu/odr.

14. Version and Updates

Last updated: July 18th 2025. We reserve the right to update these terms without prior notice. Significant changes will be communicated via our website or by email.
